This Privacy Policy explains, in general terms, how Paperless App Ltd ("we," "us," or "our") collects, uses, stores, and shares information when you use the Paperless mobile application (the "App"). It applies alongside our Terms of Use. Please read it carefully so you understand our approach to your information.

2. Your Acknowledgment
By downloading, accessing, or using the App, and by providing information through it, you acknowledge that you have read and understood this Privacy Policy and agree to the collection, use, and sharing of your information as described here and as permitted by law. If you do not agree, please do not use the App.
3. A Note About Children
The App is not intended for anyone under 16, and you must be at least 16 to use it. We do not knowingly collect personal information from children under 16. If we learn that we have collected such information, we will close the account and delete the data. If you believe a child has provided us with personal information, please contact us at info@paperless-app.com so we can remove it.
4. Information We Collect
We aim to collect only what we need to provide the App. Depending on how you use it, this may include:
Information you provide
- The details you use to create and access your account, such as a phone number or email address you verify. We do not use passwords.
- Basic profile and preference details, such as your country.
- The content you add to the App — including receipt images and the information contained in or derived from them — together with related items you create, such as labels and stores, and any feedback you send us.
Information collected automatically
- Technical and usage information generated when you use the App, such as activity within the App, general device and connection details, and diagnostic data. We use this to operate and secure the service, keep it working, and improve it.
Information stored on your device
- Some information, such as your sign-in details and app preferences, is kept on your device to keep you signed in and remember your settings.
We do not ask for or require your name, postal address, date of birth, or payment details to use the App.
5. How We Use Your Information
We use the information we collect to:
- Create and secure your account and verify your identity;
- Provide the App and store, organise, and display the content you add;
- Process receipt images so we can recognise and extract information from them;
- Operate, maintain, troubleshoot, secure, and improve the App;
- Protect the App and our users, including preventing abuse and fraud;
- Respond to your feedback and support requests; and
- Comply with our legal obligations.
6. Legal Bases for Processing
Where the UK GDPR and EU GDPR apply, we rely on one or more of the following legal bases:
- Performance of a contract — to provide the App and the features you ask for;
- Legitimate interests — to secure the App, prevent abuse, and improve our product;
- Consent — where we ask for it; and
- Legal obligation — where we are required to act by law.
7. Automated Processing
The App uses automated technology to recognise and extract information from receipt images you add, so it can pre-fill receipt details for you. This processing may be carried out by us or by providers acting on our behalf. The results may be inaccurate, and you remain responsible for reviewing and correcting them.
8. Cookies and Similar Technologies
Paperless is a mobile app and does not use browser cookies to run the App itself. However, we and the analytics and diagnostic providers we work with may use mobile and device identifiers, software development kits (SDKs), and similar technologies to recognise your installation, understand how the App is used, and detect and fix problems.
You can limit some of this collection through your device's privacy settings — for example, by resetting or limiting your advertising identifier or by adjusting the App's permissions. Any website we operate may use cookies, which are governed by the notice provided on that website. Because the signal is not handled consistently across browsers, we do not currently respond to "Do Not Track" requests.
9. How We Store and Secure Your Information
Your information is stored using our own systems and trusted third-party providers. We use reasonable technical and organisational measures to protect it, including encrypted connections and access controls. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
10. Third-Party Services
We use trusted third-party providers to help us operate the App, and we share information with them only as needed for them to perform their services on our behalf. These include providers that help us with:
- Sending verification codes by SMS or email;
- Recognising and extracting information from receipt images;
- Hosting our service and storing data and images;
- Analytics and error reporting, which receive usage and diagnostic information associated with an account identifier and are configured to limit the personal data they receive.
11. Third-Party Links
The App and our communications may contain links to, or hand information to, third-party websites, services, or apps that we do not operate or control — for example, when you open an app store page or use your device's options to share or save a receipt to another service. This Privacy Policy does not apply to those third parties, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any third party before providing information to it.
12. Sharing and Disclosure
We do not sell your personal information. Apart from the providers described above, we may disclose information if required to do so by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Paperless App Ltd, our users, or the public. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, and we will notify you of any change in control.
13. Your Communication Choices and Opt-Outs
We send certain messages that are necessary to operate the App, such as one-time verification codes. These are not promotional, and you cannot opt out of them while you have an account. We do not currently send marketing communications; if we introduce them in the future, we will give you a way to opt out.
You can limit analytics and diagnostic collection through your device's privacy settings and the App's permissions, and you can stop all collection by deleting your account.
14. Data Retention
We keep your information for as long as your account is active or as needed to provide the App, and longer where required for legal, security, or operational reasons. Receipts you delete move to a "Deleted" bin and can be restored until you permanently delete them; permanent deletion is irreversible. When you delete your account, we delete your associated data as described in the "Account Deletion" section below. Some limited records may be retained in de-identified or de-linked form.
15. Your Rights
Depending on where you live, you may have rights over your personal information, including the right to:
- Access the information we hold about you;
- Request correction of inaccurate or incomplete information;
- Request deletion of your information;
- Object to or restrict certain processing;
- Request a copy of your information in a portable format; and
- Withdraw consent where we rely on it.
You can edit much of your data directly in the App, and you can delete your entire account at any time using the "Delete Account" option in Settings. To exercise any other right, contact us at info@paperless-app.com. See also "Queries, Concerns, and Complaints" below.
16. Account Deletion
Deleting your account is permanent and irreversible. It removes your account details and the content you created in the App, such as your receipts and receipt images. Some limited records may be retained in de-identified or de-linked form, or where we are required to keep them.
17. International Data Transfers
Some of our service providers may process your information in countries outside the one where you live, which may have different data protection laws. Where we transfer personal information internationally, we take steps to ensure it is protected by appropriate safeguards, such as standard contractual clauses or an adequacy decision.
18. Queries, Concerns, and Complaints
If you have any questions, concerns, or complaints about how we handle your information, please contact us first at info@paperless-app.com so we can try to resolve them. If you are in the UK or EEA and remain unsatisfied, you also have the right to lodge a complaint with your local data protection authority — in the UK, the Information Commissioner's Office (ICO).
19. Changes to This Policy
We may update this Privacy Policy from time to time. When we make a material change, we will update the "Last Updated" date and provide reasonable notice in the App before the change takes effect. Your continued use of the App after the change takes effect constitutes your acceptance of the updated policy.
